Project architecture: Folder structure
Previously, content hierarchy in GatherContent was parent items and nested child items. Typically, parent items were often used as 'folders', to create the desired hierarchy.
In the new Content hub, parent items have been duplicated as folders, and all the child items under them will be items inside that folder.
The parent item may have contained content, so the parents still exist as items. You'll find them inside the folder with the children items 👍
Drag-and-drop item re-ordering
You can now re-order items (and folders) inline with drag-and-drop.
Drag items to another folder to move them within the hierarchy.
Tip #1: You can also do this for multiple items at once by holding Shift on the keyboard and selecting items. Click and drag them into their new location.
Tip #2: You won't be able to re-order items when sorting is turned on. You'll see a small arrow next to a column header, if sorting is on.
First, navigate to the folder where you want to add a new item.
You can create items inline, by clicking 'Create new item'. Type the name of the item and on your keyboard press 'Return', 'Enter' or click anywhere on the page on to save.
To create a folder at the top level of the your project, click the + folder icon against the project folder (the folder with the same name as the project).
For any other levels of the hierarchy, click the + folder icon next to any folder, to create a sub-folder underneath it.
Viewing the sitemap
You can still access the sitemap of your project (the visual hierarchy), by hovering over the project's folder in the sidebar.
This opens in a new tab and contains the entire project's hierarchy.
View all items in a project
You can now view all items inside your project, free from hierarchy. You can access this from the Content hub.
From here, you'll be able to sort the content you see to further specify your view.
Sorting items by column
You can now sort items by any column in the Content hub. This can be done from within the 'All items' view or from within any folder. Click a column header to sort by it.
You can now sort:
- Alphabetically on item names
- Alphabetically on template names
- By the number of comments on an item
- By the number of assignees on an item
- And last updated date
You can also toggle sorting off, to return to the default. Click again on a column heading to toggle sorting off.
Searching for an item in a project
You can still search for items and content in usual way, using the search bar in the top right of GatherContent 👍
You can also type into the 'Search' bar at the top of the Content hub, to filter the page contents.
Bulk actions - updating workflow status, due dates, assignees, templates and more
Instead of checkboxes to select multiple items, you can now select on the item entries' whitespace (next to the item name) to select it. Select multiple items by holding down Shift whilst selecting.
At the bottom of the screen you'll see the bulk actions bar. Hover over each icon to see what it does. The actions are the same as previously existed, but with some new functionality - you can now 'loop people in' to workflow status updates from the Content hub!
You can now copy items from the Content hub into other projects or into the same project.
This can be done by selecting the item and selecting the 'copy' icon from the bulk actions bar. After this you'll be able to select which project to copy the item over to.
Once the item is copied over, it will appear in the most top-level folder of the project you've moved it to. It will also have the first workflow status applied. You can move this into another position by drag and dropping it.
Where can I find my assignments?
To make your content a bit more task-focussed, we now have a dedicated 'My assignments' section where you can find tasks relevant to you.
Item list improvements
Now you can see a list of items you're assigned to in the item sidebar.
You can also search for items by name by typing into the search box.
Now from inside an item, you can see where you are within your folder-hierarchy.
Where are my project files?
Your project files can now be found in the 'Files & media' section.
Where do I find my archived (trash) items?
Your archived items can now be found in the 'Trash items' section.
You can now restore archived (trash) items by opening 'Trash items' in the sidebar. Click the items that you'd like to restore, and click the 'Restore items' button at the bottom-centre of the page.
Tip: Accessing and restoring archived Projects is done in the same way as previously.
Integrating with GatherContent
As a result of these updates, there have been some changes to the way our integrations work.
- All GatherContent integrations will now import items as a flat list, without hierarchy
